How much space will I have?
You will have a 3 x 2 metre standard shell scheme.
What does my stand package include?
In addition to the shell scheme your stand also includes 2 x 120w general-purpose spotlights and 1 x 500w single mains socket. A table and 2 chairs are included in the exhibitors package but you must request this furniture when completing the Exhibiting at Showcase Form.
Where will my stand be located?
Stands will be located in the Arena in Venue Cymru. Stands are being allocated according to region or product. Stand numbers and locations will be available during September.
Can I offer food/drink tasting from my stand?
Small food and drink samples can be offered to delegates from your stand.
What display material and literature should I bring?
The 3 x 2m shell scheme provides a plain white foamex background so you should bring either a couple of banner stands or a small pop-up stand, or other graphic material to provide an eye-catching display of your product. You will only need small quantities of leaflets/brochures relevant to the trade and expect that many of the buyers may prefer you to send them leaflets/brochures for when they return home rather than carrying a lot of material.
You may wish to bring a lap-top to show your website however please note that often trade buyers will want to make best use of the time to talk through their needs and options and generally would expect you to follow up and point them towards relevant websites afterwards.
What else should I bring with me?
All trade related information including special individual and group rates, any special features you can offer to the trade (exclusive or not) e.g. behind-the-scenes tours, free places for driver/guide, etc. A notebook or form for noting discussions for follow-ups, a stapler for attaching business cards to this, and don't forget your own business cards!
How will the appointment system work?
The online system will enable exhibitors to look at the buyer company profiles and also see what type of companies they have registered interest in meeting. Both exhibitors and buyers will be able to make appointments with one another (Buyers will be able to view exhibitor profiles online too). If you receive notification of an appointment which you do not wish to take you will need to respond to the buyer giving your reasons. Similarly buyers will be able to decline appointments which they feel are inappropriate to their business.
Can we get access to the list of buyers in advance of the event?
You will be able to see their company details through the online appointment system but will only receive their contact details in the delegate pack at the Showcase Wales event.
I am part of a consortium and will need badges for a number of people as we will be swapping cover of the stand and attendance at the evening events - how do we organise this?
At all the business and networking events each stand-holder is entitled to field 2
representatives (for sharing stand-holders this = 1 representative per company). You will need to let us know which 2 representatives will be attending which event when you return the Exhibiting at Showcase Form (online). Each representative will receive a badge but will only be able to access the events for which they have confirmed their attendance.
Am I able to buy additional tickets for the National Tourism Awards for Wales?
